ADDRESS & LABEL DATABASE
(C) April 1990 M.J.Brown
The purpose of this program is to provide a means of
quickly storing, retrieving and printing address labels
and data.
At present there is capacity for 500 labels which should
be more than adequate for most home users. The use of
menus and heavy mouse usage has, on this occasion, been
forsaken for the sake of program execution speed and
ease of use.
Program written using the Hisoft Basic/Basic Compiler.
Author : M.J.Brown [Newsflash UK]
Testing: G.Heslop [Thanks Garry]
FIRST THINGS FIRST - WHAT CAN THE PROGRAM DO FOR YOU ?
* 500 Name, Address and Telephone number capacity per file
* Automatic Printing on standard label stationary
* Provides very easy and quick access to the data
* Provides easy storage and retrieval of the data
* Allows printing of specific groups of labels
* Ability to search, edit and jump to labels
* Written to be usable by ALL users straight-away
PROGRAM OPERATION
[1] The Main Menu
Ok, there's not a better place to begin! On loading the
program displays the main menu, this offers the
following six options...
NEW
This allows you to enter new data thus creating your
database automatically, or to add to an existing one you
may have already loaded previously.
VIEW
This function puts you in direct contact with the
contents of your database, see the section on operating
in this section.
LOAD
Simply loads a data file (if present) from the disk. To
make things easier for new users, only one file can be
used on one disk [or in one drawer on workbench], after
some consideration I didn't think that many people would
need the facility for more than one database. If I'm
wrong you can of course let me know!
SAVE
Saves the current database in memory to disk. A database
containing around 150 names and addresses will take up
around 11-12K on the disk - make sure you use a disk
with 50K or so free, it pays to play safe. When entering
data it may be wise to save whenever possible - there is
no worse event than a computer crash after typing large
quantities of data. Save yourself a headache!
PRINT
This option provides several modes and features so that
you can get the best out of the program. For more
information see the section that explains this sub-menu
in more detail.
QUIT
Just exits the program. If you press this by accident,
don't panic! The program will never quit with any data
in use - it will ask for a confirmation before sending
your bytes to the great trashcan in the sky.
VIEW MODE
This mode (selected by pressing V on the main menu)
gives you control over viewing, editing and printing the
contents of your address database.
The full address and telephone number is displayed and
they can be manipulated with the following controls...
F [or +]
Step forward and view the next address/label.
B [or -]
Step back and view the previous address/label.
P [or *]
Print the address out.. See later details for specific
printer/printing details.
G
Go to a specific address, you are given the range and
are required to enter the number you wish to jump to.
S
Sort Database. Sorts all the addresses into alphabetical
order. A routine is used that sorts the addresses by
looking at the rightmost word in the NAME section. This
is because this is usually the surname. Hint! For
companies and firms, it may be better to leave off any
'Ltd' or 'Co'.
D
Deletes the displayed file, also asks for confirmation
before proceeding.
N
Allows you to add new addresses.
X
Allows you to search for information. You can type any
number of characters to search for, including numbers.
This means you can search for telephone numbers etc. All
the data is checked and it also allows you to stop or
continue searching for other addresses containing that
data.
E
Edit the displayed address. Allows you to quickly change
addresses and phone numbers.
!
Save the data. (Same as in the main menu). [Shift & 1]
^
Toggle between standard label-print and NLQ mode. The
screen will clear denoting the change. [Shift & 5]
PRINT OPTIONS AND UTILITIES
The program offers a variety of modes enabling to use
your data to the full, these are as follows..
SEARCH
Will search through and print all files containing a
character-string you enter. For example you could print
all files that were going to a certain town or name. You
could also intentionally include a couple of characters
in the address, such as '%%' - that way you could group
addresses together and print them all out at once using
this utility.
RANGE
This function prints out a range of labels from A to B,
which you enter at the prompts. You are also told the
range available.
BATCH
This allows you to print labels out very quickly by just
entering the address/record number. This is a very
powerful utility when used with the function below.
CATALOGUE
This prints a list of all the names of the people/firms
listed in your database along with a record number. This
is designed to be printed to sheets of paper and not
labels. When using BATCH, you type the number of the
address to print. This saves lots of time if you are
wading through lots of labels.
INDEX
This is another function designed to print to paper, it
lists the full names and addresses of the entire
database so it can be used as reference by you or a
third party. This facility was added due to demand.
PROGRAM HINTS/TIPS AND GENERAL COMMENTS
From time to time you will notice that the screen
clears, this is when it is busy, either sorting,
loading, saving or printing. It is not something to
worry about.
The program WILL multitask ok with other programs, it
does not require any other external files except the
data which is called 'LDATA'.
PRINTING TIPS AND COMMENTS
The program is designed to be used with standard
computer stationary. The labels the program was designed
around are standard 4"x1.5" (or thereabouts!) and one per
sheet. Tractor feed labels such as this are available
from any reputable computer-stationary dealer.
PROBLEMS ?
To the best of my knowledge, the program operates as I
have described. However due to the nature of computer
programs in general, sometimes bugs and errors can sneak
by un-noticed. If you find a bug, or have any problems
with the program, don't hesitate to contact me! On the
other hand, if there is anything you would like to see
added or changed in the programs operation - please
suggest it and ideas for other useful programs.
I hope you find the program genuinely useful, I've been
using a simpler version for quite a while.
The program was written for my own use, I just hope that
it is of benefit to you.
Bug Note: For some reason the sort mode can get confused,
you might like to know that this can be avoided by entering
your data in CAPS mode, the program automatically changes
data into capitals anyway.
